As a member of the Sales Backoffice Team, you will be part of a dynamic and enthusiastic international group dedicated to ensuring smooth and efficient operational processes, all with a strong focus on customer satisfaction.

In this role, you will be responsible for managing the order processing, logistics, and invoicing workflows related to the delivery of YMI products to distributors, OEMS, and Yanmar regional sales offices, ensuring high delivery performance and strong financial control.

Additionally, you will oversee the management and maintenance of the electronic ordering system, contributing to the continuous improvement of internal processes and customer experience.

  • Manage and process incoming customer orders, ensuring accuracy and completeness across various systems and databases (e.g., SAP).
  • Review and forward non-standard sales inquiries to the appropriate Sales Account Manager for further handling.
  • Verify pricing and delivery terms prior to order confirmation for assigned customer accounts.
  • Coordinate with the production team to monitor product completion timelines and ensure alignment with delivery schedules.
  • Coordinate with the Parts department to monitor the completion of supply orders and ensure alignment with delivery schedules.
  • Provide customers with regular updates regarding the logistical status of their orders, including estimated shipping dates.
  • Organise and arrange transportation for completed products to meet agreed shipping deadlines.
  • Prepare and manage all required export documentation for global shipments.
  • Generate and validate customer invoices at the time of shipment, confirming accuracy in pricing and delivery terms.
  • Facilitate the handling of customer complaints by forwarding them to the Quality department for resolution.
  • Maintain clear and consistent communication with Sales Account Managers, supplying relevant updates and business data.
  • Support department leadership by executing and coordinating special projects as needed.
  • Engage in daily communication with various internal and external stakeholders to ensure smooth operational flow.

  • Bachelor’s degree in a relevant field.
  • Minimum of 3 years’ experience in a sales back-office or similar administrative role.
  • A result-driven and proactive mindset, with a creative approach to problem-solving and a strong focus on building and maintaining relationships.
  • Eagerness to work in a dynamic, multicultural environment within the marine industry.
  • A collaborative team player with a supportive attitude and the ability to work comfortably with data.
  • Excellent communication skills and a strong customer-oriented approach.
  • Proficiency in Microsoft Office tools (Excel, Word, Outlook, etc.).
  • Experience working with ERP systems, preferably SAP.
  • Fluent in English – both written and verbal.

Applicants must currently reside in the Netherlands and possess eligibility to work in the country, including having a valid work permit or passport.

The position is based in Almere. Therefore, candidates must live within an acceptable distance and have a permanent residence and work permit for the Netherlands.
