This key position offers a high level of trust, autonomy, and impact. You will be the right hand of the Head of the Electrification Unit and support the leadership team in performing at their best by managing their time, priorities, and sensitive information efficiently and professionally.

What are you going to do?
As an Executive Assistant, your primary purpose is to provide secretarial, administrative, and organisational support for projects to the Head of the Electrification Unit and the executive team. You will play a crucial role in ensuring they can focus on strategic priorities while you manage daily operations with structure, care, and discretion. Your role requires high-level communication, confidentiality, and the ability to handle tasks independently in a fast-paced environment.
You will also act as a central point of contact, ensuring smooth coordination between internal teams and external stakeholders.
Your main tasks and responsibilities:
- Correspondence Management: Draft and edit letters and documents, ensuring accuracy in spelling and layout, and handling confidential mail. Manage incoming and outgoing calls and emails, redirecting as necessary, and arrange translations when needed.
- Agenda Management: Organise and prioritise executive calendars, schedule appointments, and track tasks to ensure timely completion. Manage messages and communication with internal and external contacts, track key dates, and arrange personal celebrations when appropriate.
- Meetings & Events Organisation: Coordinate and prepare meetings, video calls, and events, ensuring logistics are handled seamlessly. Distribute agendas and relevant documents, guide visitors, and ensure the reception area is ready. Take minutes, follow up on action items, and arrange travel and business lunches.
- Document Management & Archiving: Maintain and organise department archives, ensuring files are easily accessible and up to date. Create file descriptions, references, and manage cleanup per internal guidelines.
- High-level administrative and operational responsibilities: include preparing and developing presentations, structuring workflows, and independently managing smaller projects. The Executive Assistant will actively support the execution of strategic initiatives, coordinate tasks across departments, and contribute to optimising internal processes.

You are a strong communicator who is comfortable interacting with senior stakeholders. You don’t wait to be told what to do – anticipate needs, take initiative, and find solutions. You understand digital tools, are open to AI-driven working methods, and continuously look for ways to improve processes.
The ideal candidate:
- A Bachelor’s degree or equivalent experience;
- A quick thinker with strong organisational skills and an eye for detail;
- You take initiative and enjoy solving problems;
- Comfortable with digital tools and open to new technologies;
- Fluent in Dutch and English
Applicants must currently reside in the Netherlands and be eligible to work there, including a valid work permit and/or passport.
